The identification system works when you can use it every day. It needs structured files, brief instructions and clear rules for introducing new variants.
Set one place with the current materials
The team should know where to download the character, presentation template or graphics for publication. File names must explain the purpose and version. A folder full of "final", "final2" and "final" files does not give certainty about what is approved.
For a company cooperating with several contractors in Warsaw or remotely prepare packages suitable for the task. Printers and editor of the site do not need an identical set. This limits the accidental use of a file not adapted to the medium.
Show Typical To-dos
The instructions should answer daily questions: how to make an offer, sign a photo, prepare a footer or add a new topic of presentation. The color values alone are not enough for someone who does not design.
For example, a new employee may need one page showing the correct layout of the slide and how to shorten the long title. This is more useful than having to view all the documentation for each minor action.
Plan exception handling
A new campaign or unusual format may require a derogation from the ready-made template. Specify who makes the decision and whether the new variant is to be included in the system. Without this, single experiments quickly become random standards.
Check:
- the conformity of the versions of the mark used;
- the actuality of the templates;
- readability of examples;
- files to be withdrawn;
- repeated team questions;
- materials for which a pattern is missing.
Pass the system to actual use
Ask a person outside the project team to make simple material according to instructions. Watch where he must ask questions. Fix documentation and names instead of assuming that the problem will solve further training.
