Coherence begins after the project is handed over

After the graphic work is completed, more offers, presentations and entries are created. If each employee uses a different logo file and their own text settings, the identification gradually spreads. The solution is not necessarily a long book, but a manual that can be used during normal work.

Collect the most frequently performed materials. Check who prepares them, in which program and how often the data changes. The template should meet these conditions rather than require tools that the team does not use.

Design elements for multiple use

In the commercial document, these may be headers, scope table, contact block and way of marking important information. On the website, they will be content modules, buttons and photo captions. The rules should specify the relationship between elements so that the new content does not require a new composition each time.

For example, the presentation template should contain both a short message and a compilation of data. If it only works with three words and one photo, employees will quickly start creating their own inconsistent layouts.

Organize a material library

  • Share one location with current files.
  • Describe the use of variants of logos and graphics formats.
  • Separate templates from ready-made customer documents.
  • Retracted versions mark as archive.
  • Name the person approving the changes to the rules.

Add short examples of correct usage and typical mistakes. A manual based on a real company document can be easier to use than an abstract board with the colours themselves.

Make a test with the future user

Ask an employee to prepare a new offer based on the template. Watch if he finds files, understands fields and can add content without breaking the layout. Comments from this attempt allow you to improve the tool before passing it to the entire team.

After a while, look at some new materials. Repeated error may mean unclear instructions or lack of necessary variant, not lack of employee care.
