The best starting point is a repetitive task with a clear result. Instead of adding AI to every function, we select a process in which you can check quality, cost and actual saving of work.
A job worth flying back to
We look at actions that are done many times: ordering queries, searching for information, preparing sketches of answers or preparing descriptions. We save the current course of work and determine what is to change. If the task can be reliably executed with a simple rule, integration with the model is not always needed.
Good pilotage has a limited range, examples of data and the person responsible for the evaluation. We determine when the result requires acceptance, which is a critical error and how the user can improve the response. High fluidity of the text is not a proof of its correctness.

Examples of applications and automation limits
The form can pre-attribute the request to the department and prepare a summary for the maintainer. The editor may receive a sketch of the description based on approved product data. The maintenance worker can quickly find a fragment of the instructions along with a link to the document. These are examples of possible scenarios, not a promise of identical implementation in each company.
Sending an offer, changing the price, deleting data or giving a binding answer requires separate rules of permission. In the first version, often more reasonable preparation of a proposal for approval. When there is no reliable information, the system should refer the matter to the man instead of guessing.

Before integration, we organize the sources: documents, product directory, instructions and data from the panel. We check the currentity and who can see the specified information. The permissions must work before transferring the data to the model, not just in the user interface.
The selection of the supplier takes into account the method of data processing, service conditions, retention and requirements of the company. We do not send the entire database just because it is available. We treat the content taken from the documents as data to be developed, not as instructions to change the rules of operation of the application.

We prepare a set of representative cases: simple questions, incomplete data, conflicting sources and attempts to obtain unauthorised information. We conduct an evaluation on examples similar to real work. We record errors and criteria that have to be met before wider startup.
We measure response times and the cost of a single task. We set limits, record events and behavior when external service is not available. After implementation, we need to control changes in data and models. Integration AI is a maintained component of the system, not a one-time addition to the form.

What to prepare to talk about piloting
Examples of tasks, representative documents and a description of the correct result are most helpful. You can start with an anonymized sample if actual materials contain information that should not be made available at this stage. It is important to indicate typical errors and how the employee is dealing with them today.
We also set the number of tasks, their service time and tools used in the company. This allows you to compare the cost of integration with the value of improvement. Piloting evaluation should include the work needed to verify the answer: a quick draft requiring long amendments can give less benefit than simple automation without a language model.

Do you need to rebuild the entire page?
Not always. First we check the CMS panel, available API and the way you receive applications. Often you can start with a separate module, without replacing the whole service.
Will AI be sending messages on its own?
The scope of the action is set in the project. When handling new queries, a good starting point is to prepare a sketch, which the employee checks and approves.
How to control the cost of using integration?
We set limits on the number of queries, the length of materials and the budget. In piloting we measure the actual use to select the way the company works.
