The care of the site may include technical maintenance, changes in content and development of functions. It is worth separating these tasks and determining how to report and confirm the work done.
What Does Care Really Cover
The term “participation” does not yet say who is responsible for the server, copies, updates or editing. Make a list of needs and every time you point out the contractor. If hosting provides another company, also determine who contacts it in case of a failure.
Separate cyclical activities from the work ordered in addition. Replace the telephone number, delete the form fault and design a new department requires different workloads. A common service name should not cover these differences.
The application should be replicated
Enter the address, steps, expected effect and what actually happened instead of the “page does not work” message. Include a drop without confidential data and device information. Do not send passwords along with the notification; agree on how to make access securely available separately.
An example of useful description: when you select a specific service, the form does not pass to confirm, despite filling in mandatory fields. This message allows you to check the script instead of guessing which location the problem concerns.
Priority, response and solution
Establish the principles of urgency. The inaccessibility of the entire site, the inoperative contact and correction of the typos should not be placed in one queue with identical expectations. Distinguish the acknowledgement of acceptance, start analysis and remove the cause. Not every failure can be solved in the time needed to respond.
When agreeing on cooperation, ask:
- at which times the notification is served;
- who can order changes and accept costs;
- how the work performed is documented;
- what the reproduction of the page from the copy looks like;
- what you will receive when you complete your cooperation.
Taking over an existing page
The new maintainer needs time to recognize the system, dependencies and access. Before the first changes it is worth checking the ability to make copies and restore the environment. Do not identify the mere possession of a copy file with the confirmed possibility of restoring the site.
