The Public Information Bulletin requires a structured publication process. Existing materials, the responsibility of editors and the possibility of finding documents must be taken into account when implementing or changing the system.
First, the scope of the entity’s obligations
The BIP is used to make public information available. The scope of the publication for a particular entity must be determined with those responsible for its duties. BIP information i materials for editors.
The technical design does not replace the decision which documents are to be published and in what form. The implementation team should receive an agreed structure, roles and requirements for presentation and history of information.
Write down what has already been published
When changing the system, prepare inventory of sections, documents, attachments and links. Include dates and publication information available in the current solution. Do not move the archive only as an indescribable package of files if you need to understand the context of the document.
For example, several versions of the same material may need to maintain a mutual relationship. Establishing which information is up-to-date and as shown earlier should occur before import, with the participation of the responsible editor.
Practice daily publication
The addition of a trial document will reveal whether the fields are understandable and if the editor knows what to check before making available.
The reception scenario may include:
- preparation of content and annex;
- supplementing the required information on publication;
- checking the correct location in the structure;
- correction and control of the history of changes according to scope;
- the identification of the document on a public website;
- support using keyboard and zoom.
Control completeness after migration
Compare the number and availability of materials with the source list. Open the links used earlier and check the attachments. The proper home page display does not confirm the transfer of the entire resource.
Also determine who keeps the data up-to-date and who helps with technical problems. Read more about separating requirements in CMS for BIPand how to handle changes in organisation of site care.
